This Privacy Policy describes how the National Range Officers Institute (NROI) (“NROI,” “we,” “us,” or “our”) collects, uses, stores, and protects information when you use the NROI Points Card mobile application (“App”) on iOS and Android, and related services hosted at pointscard.nroi.net.
By creating an account or using the App, you agree to this Privacy Policy. If you do not agree, please do not use the App.
1. Who this App is for
The App is intended for registered NROI range officers, match officials, and authorized organizational users who manage match signification, point cards, notifications, and related officiating records.
2. Information we collect
Depending on how you use the App, we may collect the following information:
- Account and profile information: user ID, name, email address, phone number, membership identifiers (such as NROI or PPSA-related IDs), rank, area, and other profile details you provide.
- Authentication data: login credentials and session information needed to secure your account.
- Profile photo: images you capture or upload for your officer profile.
- Digital signature: signature images used for point card and authentication workflows.
- Match and officiating data: match details, signification status, assigned roles, points earned, range master information, schedules, locations, disciplines, and related records.
- Messages and notifications: content you send or receive through in-app messaging and announcement features.
- Files and exports: PDFs, forms, and documents you download, view, or export through the App.
- Device and technical data: basic device and app information needed to operate the service, such as app version, operating system, network connectivity status, and error logs needed for troubleshooting.
- Locally stored data: cached match, profile, and sync data stored on your device to support offline use.
3. Information we do not collect for tracking
The App is not designed to track your real-time GPS location. Match locations shown in the App are event information entered into NROI systems, not continuous device location tracking. Some device libraries included in the App may reference location-related APIs required by mobile platforms, but we do not use the App to collect precise location history for advertising or unrelated tracking.
We do not sell your personal information and we do not use third-party advertising analytics in the App.
4. How we use your information
We use collected information to:
- Authenticate you and provide access to your NROI account.
- Manage match call-ups, signification, approvals, and point card records.
- Display your profile, points summary, match history, and organizational messages.
- Enable profile photo and signature capture required for officiating workflows.
- Sync data between your device and NROI servers, including offline support.
- Generate and export PDFs and official forms.
- Maintain security, prevent misuse, and improve reliability of the service.
- Respond to support requests, password resets, email verification, and account-related inquiries.
5. Device permissions
The App may request the following permissions:
- Camera: to capture your profile photo, officer signature, and match-related images.
- Photos / media library: to let you choose images and save exported files such as PDFs when you choose to do so.
- Internet and network access: to sign in, sync data, and communicate with NROI servers.
- Background activity / battery optimization (platform-dependent): to support periodic data sync when permitted by your device settings.
You can manage or revoke permissions in your device settings. Some features may not work without the permissions needed to provide them.
6. How information is shared
We may share information only as needed to operate the App and NROI officiating processes, including:
- With authorized NROI administrators, area coordinators, range masters, and other officials involved in match approval and point card workflows.
- With service providers that host or support our systems, under obligations to protect your data.
- When required by law, regulation, legal process, or to protect the rights, safety, and security of NROI, users, or others.
- With your direction, such as when you export or share a document from the App.
We do not share your information with third parties for their independent marketing purposes.
7. Data storage and security
Information is stored on NROI-controlled servers and, where applicable, locally on your device for offline access. We use reasonable administrative, technical, and organizational safeguards designed to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Data retention
We retain information for as long as needed to provide the App, maintain officiating and membership records, comply with legal obligations, resolve disputes, and enforce our policies. Local cached data on your device may remain until you clear app data, uninstall the App, or sync replaces it.
9. Your choices and rights
Depending on applicable law, you may have the right to:
- Access and update certain profile information through the App or by contacting NROI.
- Request correction of inaccurate information.
- Request deletion or deactivation of your account, subject to NROI record-keeping requirements.
- Withdraw consent for optional permissions in your device settings.
Account deletion or privacy requests can be submitted through official NROI channels or using in-app account management features where available.
10. Children’s privacy
The App is not intended for children under 13 years of age, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.
11. International users
The App is operated by NROI in the Philippines. If you access the App from outside the Philippines, you understand that your information may be processed and stored in the Philippines or where our service providers operate.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of the App after changes are posted means you accept the updated policy.
